Information we receive
When you contact us by email, telephone or post, we may receive your name, contact details, company and role, correspondence and information about your proposed project. Drawings, photographs and other material you provide may also contain personal information. Please provide only information relevant to your enquiry and avoid sending unnecessary sensitive information about other people.
This website currently directs enquiries to email or telephone; it does not have an online enquiry submission form.
Why we use it and our lawful bases
We use enquiry information to respond, understand your requirements and prepare proposals. Where you personally request steps towards a contract with us, or appoint us, we rely on the contractual lawful basis. For business contacts acting for an organisation, we rely on our legitimate interests in responding to enquiries and managing business relationships.
If a project proceeds, we use relevant information to administer the appointment, coordinate the agreed services and maintain project records. We rely on contract where the individual is a contracting party, or legitimate interests in delivering services to a business client. We may also process records to meet legal obligations, including accounting and tax requirements, and for our legitimate interests in resolving complaints or establishing, exercising or defending legal claims.
Our legitimate interests include running our business, communicating with clients and protecting our legal position. We consider those interests alongside individuals’ rights. We do not use enquiry details for marketing.
Who may receive information
Information may be handled by staff who need it and by providers supporting our email, IT and website services. Where relevant to an agreed project, necessary details may be shared with consultants, subcontractors or suppliers. Relevant records may also be shared with accountants, insurers, legal advisers or authorities where needed for professional advice, claims or legal obligations.
We limit sharing to information needed for the purpose. We do not sell enquiry information or share it for third-party marketing.
How long information is kept
Enquiry information is kept only while needed to deal with the enquiry and any necessary related follow-up. For enquiries that do not proceed, the criteria for deletion are whether the matter is closed and whether any remaining legal, complaint or record-keeping need justifies keeping it.
Where an appointment proceeds, retention depends on the type of record, the duration of the project, applicable accounting and tax obligations, contractual requirements and relevant periods for potential claims. Records are deleted or anonymised when no longer required. Copies in backups may remain until those backups are overwritten under the provider’s arrangements.
Email storage and backups
Our email service is provided by MEG7 Limited. MEG7 has confirmed that live email data is stored on UK-based servers. Daily backup snapshots are retained for 30 days on a rotational basis, with backup servers also located in UK data centres. Deleted messages may remain in these snapshots until the applicable backup rotates out.
Website hosting and visitor information
Our website is hosted through OpenAI’s ChatGPT Sites. The hosting service processes technical information generated by visits, which may include IP addresses, request and log data, device information and usage information. This supports delivery, maintenance and security of the website. Sites also automatically records visitor and page-view statistics so we can understand use of the website.
Our lawful basis for processing technical visitor information is our legitimate interests in operating a reliable, secure website and understanding its use, subject to your rights and any separate consent requirements for cookies or similar technologies.
We have not added advertising trackers, third-party analytics scripts or cookies to the website code. This statement does not cover technologies operated by the hosting platform itself. The platform may use cookies or similar technologies in providing its services; we do not use enquiry information for advertising or marketing.
Technical information is processed under the hosting arrangements for as long as required to operate, maintain and protect the service and meet applicable legal obligations. The provider’s published Sites terms do not specify a single fixed retention period for visitor logs. When hosting ends, its data-processing terms provide for return or deletion of hosted personal data on instruction, unless retention is required by law. Contact us if you need further information about technical data relating to your visit.
Processing outside the UK
The UK email-storage arrangements described above do not mean that website information stays in the UK. OpenAI OpCo, LLC is our website hosting processor under the applicable Sites data-processing terms. Website information may be processed outside the UK, including in the United States, by OpenAI and its service providers.
For UK personal information, those terms incorporate the European Commission’s Standard Contractual Clauses with the UK International Data Transfer Addendum. These contractual safeguards govern the transfer and protection of that information. You can read the ChatGPT Sites Data Processing Addendum and the provider’s subprocessor list, or contact us for information about the safeguards relevant to your information.
Your rights
Depending on the circumstances and lawful basis, you may ask for access to your information, correction, deletion, restriction of processing or portability. You may object to processing based on legitimate interests. Where we rely on consent, you may withdraw it without affecting processing already carried out lawfully.
Contact us using the details above to exercise your rights. We may need to verify your identity. Rights are subject to legal conditions and exceptions; we will explain our response. Requests are normally handled without charge and within one month, subject to applicable extensions and exceptions.
We do not use enquiry information for automated decisions producing legal or similarly significant effects.
Complaints and changes
Please contact us if you have concerns about how we handle your information. You may also complain to the Information Commissioner’s Office: ico.org.uk/make-a-complaint.
Providing enquiry information is voluntary, but without relevant contact or project details we may be unable to respond or prepare a proposal. We will update this notice if our practices change.
